Bilingual Administrative Assistant (West Orlando)

TalentoHCM has partnered with an industry leading property management company who is seeking a skilled and enthusiastic Bilingual Administrative Assistant to join our team in the West Orlando area. You will play a key role in overseeing the activities of contracted vendors, while also managing and delivering account information, reporting directly to the Community Association Manager.


  • Draft and send email communications
  • Engage in advisory groups as required
  • Supply requested account and community information to authorized homeowners and vendors
  • Assemble and distribute welcome packages for new homeowners
  • Assist the Security team with guest registration processes
  • Activate hangtags for authorized homeowners and vendors
  • Maintain records and documentation for maintenance reports on a daily, weekly, and monthly basis
  • Aid the architectural change process by submitting applications, informing homeowners of missing documents, assisting with the web portal, and updating directors on status
  • Perform regular inspections of community and common areas to ensure maintenance standards are met
  • Conduct covenant enforcement, including issuing and following up on violation notices
  • Support vendor management by assisting with bidding, hiring, and overseeing vendor activities
  • Oversee the vendor work order process and coordinate schedules with vendors and residents
  • Prepare and submit meeting notices, board and committee packets, and minutes
  • Manage electronic and paper file storage
  • Handle and resolve inquiries, requests, disputes, or complaints promptly and efficiently
  • Ensure special projects are completed on time and within budget by managing resources, timelines, and reporting progress
  • Respond to urgent matters after hours and assess their priority


  • Bilingual required; fluency in Spanish preferred
  • High school diploma / GED
  • 2+ years of experience in an administrative assistant role
  • Knowledge of HOA/CONDO
  • Excellent customer service skills
  • Strong verbal and written communication skills
  • Ability to develop and maintain productive working relationships with staff, vendors, and residents
  • Familiarity with association documents is a plus
  • Proficiency in Microsoft Office programs: Word, Excel, and Outlook
  • Ability to meet deadlines and manage multiple tasks in a fast-paced environment
  • Ability to work independently, solve problems, and be proactive
  • Strong organizational skills and attention to detail
  • Must be authorized to work in the US
  • Valid driver’s license
  • Must pass a background check
