Marketing Procurement Manager
Fort Lauderdale, FL (hybrid)
The Marketing Procurement Manager is responsible for the day-to-day sourcing, purchasing, budgeting, and fulfillment coordination of marketing materials across retail and distribution channels. This role ensures all printed materials, point-of-sale displays, promotional items, and event assets are produced on time, within budget, and delivered accurately to field locations throughout the Americas.
This position operates as the primary liaison between marketing, finance, vendors, and third-party fulfillment partners. The role is highly execution-oriented and requires strong attention to detail, financial discipline, and hands-on management of purchasing workflows and vendor relationships.
Responsibilities
- Manage procurement of all marketing support materials including print collateral, brochures, flyers, signage, POP/POS displays, retail fixtures, promotional merchandise, and trade show materials.
- Execute competitive bid processes for projects and evaluate vendors based on cost, quality, lead time, and production capabilities.
- Negotiate pricing, production schedules, and delivery terms with external suppliers.
- Oversee purchase order creation and approval processes; ensure compliance with internal financial controls.
- Track and manage marketing materials budget, including invoice reconciliation, forecasting updates, and expense reporting.
- Coordinate production quantities and distribution requirements with marketing and sales teams.
- Manage third-party warehouse and fulfillment providers responsible for storage and shipment of marketing materials.
- Monitor inventory levels and support replenishment planning to avoid stockouts or excess inventory.
- Ensure timely distribution of materials for new distributor launches, retail rollouts, contractor programs, local events, and trade shows.
- Troubleshoot vendor, shipping, or production issues and drive resolution to protect timelines.
- Maintain documentation of buying processes and ensure purchasing procedures are followed consistently.
- Support internal reporting needs related to budget performance, vendor spend, and fulfillment activity.
Requirements
- 5+ years of experience in procurement, purchasing, marketing operations, or supply chain coordination.
- Direct experience sourcing print materials, retail displays, promotional products, or branded merchandise strongly preferred.
- Hands-on experience managing purchase orders, vendor negotiations, and invoice reconciliation.
- Strong budgeting and cost-tracking skills; comfortable working closely with finance teams.
- Experience coordinating with third-party warehouses or fulfillment partners.
- Working knowledge of ERP or inventory management systems.
- Detail-oriented with strong organizational and follow-through skills.
- Ability to manage multiple active projects simultaneously in a fast-paced environment.
- Strong communication skills and ability to coordinate across departments.
- Bachelor’s degree preferred but not required with relevant experience.
