Personal Assistant (High-Net-Worth Family) – Miami, FL

A prominent high-net-worth family with residences and business interests in Miami and New York is seeking a highly organized, service-oriented Personal Assistant. This is a fast-paced, 24/7 support role that provides comprehensive personal and family support while working closely with the Executive Assistant and Chief of Staff. The ideal candidate operates with exceptional attention to detail, anticipates needs before they arise, and thrives in a dynamic, high-expectation environment.

Responsibilities

 

  • Coordinate all travel—private aviation and commercial—including routing, passenger manifests, meals, on-the-ground logistics, and last-minute adjustments.
  • Liaise directly with pilots, aircraft crew, boat captain, and transportation providers.
  • Build and execute complex itineraries for family travel (often 7–9 travelers), including hotels, dining, excursions, and contingency plans.
  • Ensure all travel aligns with time zone considerations (e.g., being reachable when principal is landing internationally).
  • Provide daily support to the principal, spouse, and family members including scheduling, reminders, errands, and organization.
  • Partner closely with the House Manager and Chef to ensure seamless household operations.
  • Serve as a primary point of contact across multiple WhatsApp groups and communication streams.
  • Manage high-volume, rapidly changing requests with clarity, precision, and follow-through.
  • Collaborate with the Executive Assistant (based in another location) to divide responsibilities and ensure nothing slips through the cracks.
  • Maintain calendars, reservations, gifting, reservations, and vendor coordination.
  • Support business and personal tasks across multiple locations.
  • Prepare and track trip summaries, checklists, purchase details, and personal records as needed.
  • Assist with personal errands, purchases, returns, and lifestyle management tasks.

  • Exceptional attention to detail—someone who double-checks everything and doesn’t miss small changes.
  • Highly responsive, adaptable, and able to manage 24/7 needs when required.
  • A proactive self-starter who anticipates needs and solves problems before they arise.
  • Strong judgment—able to protect credibility by catching errors before they occur (e.g., confirming travel details precisely).
  • Works effectively in a “team of support” alongside an EA, Chief of Staff, and household staff.
  • Comfortable with last-minute changes, fast pace, and a high volume of requests.
  • Mature, polished, and discreet.
