The Senior Specialist, HR will play a key role in ensuring a seamless employee experience throughout the entire employee lifecycle. This role focuses on onboarding, offboarding, payroll and benefits administration, compliance, and administrative support, fostering a positive work environment while maintaining organizational standards and legal compliance.

What you would be responsible for
Contractor Onboarding, Offboarding, and Employee Lifecycle Management
- Oversee the end-to-end onboarding process for contractors, ensuring all required documentation, background checks, and compliance steps are completed accurately and promptly in Bullhorn
- Serve as the primary point of contact for contractors during onboarding, addressing questions about paperwork, payroll setup, and company policies
- Ensure contractors are properly set up in internal systems (e.g., payroll, benefits, time tracking) and provide them with access to necessary tools and resources
- Collect and validate employment eligibility (e.g., I-9s, W-4s), ensure proper filing, and maintain compliance with federal and state regulations
- Act as the liaison between contractors and recruiters for any day-to-day HR inquiries, such as timekeeping issues, benefits questions, or contract details
- Process and document lifecycle events, such as contract extensions, changes in assignment, pay rate adjustments, or status changes
- Monitor compliance with client requirements (e.g., certifications, licenses, or drug screenings) and proactively ensure contractors meet deadlines
- Coordinate the offboarding process for contractors, ensuring the return of company property (if applicable) and final paycheck compliance
- Provide termination letters, final payment details, and any other required offboarding documentation
Payroll and Benefits Administration
- Process payroll, including managing deductions, inclusions, and compliance
- Administer benefits programs, ensuring they align with employee needs and market trends
- Handle ongoing benefits and compensation updates, including open enrollment communications
- Respond to inquiries related to benefits and timesheets
- Process vendor invoices and conduct monthly audits to ensure billing accuracy
- Assist with compliance audits, including PTO, EEOC, and 401(k)
- Manage the offboarding process including healthcare transitions and COBRA
Compliance and Administration
- Maintain compliance with federal, state, and local employment laws and regulations, recommending best practices
- Manage external correspondence, including employment verifications, child support, unemployment claims, and workers’ compensation inquiries
- Perform Gainwell Monthly Exclusion Testing audit and related vendor processes
- Ensure accurate documentation and timely responses for external requests
- Conduct regular audits of employee and associate records including new hires, terminations, and status changes to ensure compliance with company policies
- Ensure accurate recordkeeping of all HR compliance requirements
- Monitor and audit compliance with training requirements
- Regularly audit Bullhorn data to ensure contractor records are up to date and accurate throughout their lifecycle
Facilities Management
- Prepare workstations, laptops, and necessary equipment for new hires, ensuring they have everything needed for a smooth start
- Serve as the point of contact for any office repairs or maintenance issues, ensuring prompt resolution. This includes coordinating with vendors for any office repairs or improvements
- Manage incoming and outgoing mail, ensuring timely distribution and processing of correspondence and packages
- Oversee the distribution and tracking of office parking passes for associates, ensuring availability and resolving any related issues
- Administer company business and workers' compensation insurance, ensuring all policies are current and coverage requirements are met
- Order and maintain office supplies, including stationery, equipment, and other materials needed for day-to-day operations
- Ensure the office environment meets all health and safety regulations, including maintaining fire exits, safety equipment, and employee well-being protocols
- Manage relationships with various office vendors (e.g., janitorial services, food deliveries, maintenance companies) to ensure the office runs smoothly and efficiently
- Ensure all offices are organized and presentable, including common areas, meeting rooms, and workspaces, ensuring a professional and welcoming environment for associates and visitors
HR Projects
- Assist with ad hoc HR projects as needed
- Participate in the review and updating of company policies and procedures as needed, ensuring they align with legal requirements and company goals
- Collect, compile, and analyze employee data for specific HR reports, audits, or other projects, providing insights to leadership for decision-making
- Work with other departments on special initiatives as needed
Experience and Knowledge Requirements
- Bachelor's degree in Human Resources, Business Administration, or related field preferred.
- 3–5 years of HR experience, including onboarding, benefits administration, and payroll
- Strong interpersonal and communication skills to interact with employees and contractors at all levels.
- Proven organizational skills with a high level of attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with HRIS systems and Microsoft Office Suite.
- Experience with Bullhorn ATS preferred
